Program Support Specialist

Job Summary: -

UServeUtah is seeking a Program Support Specialist to coordinate specialized agency office functions or activities and to provide administrative support to management and staff. In this position the candidate must perform a wide variety of administrative support duties ranging from general financial and clerical support to complex administrative coordination.
 
Compensation Type: Hourly wages
Salary/Wage: $19-21/hr

Location: 300 S. Rio Grande St, Salt Lake City, UT

Primary Responsibilities: -
• Act as a resource to determine the most effective way of meeting the needs of management, staff, clients, or customers
• Coordinate and/or act as a liaison with other agencies, organizations, suppliers, etc.
• Schedule meetings and prepares materials, takes minutes; maintains office calendar
• Prepare and/or processes documents; reviews for accuracy and completeness; updates information and/or evaluates against policy; compares elements for consistency or logical relationships, etc.
• Compile and maintain information that may require web or library researching, gathering, compiling, and updating data and records.
• Perform specialized administrative duties required to support specific program areas.
• Maintain internal records, contracts, and reports; perform basic statistical calculations on data for reports and presentations
• Coordinates office financial functions and travel arrangements.
• Coordinate event planning and make logistical arrangements for program meetings and larger events.
• Perform other duties as required to support the mission and function of the agency.

Desired Qualifications: -
This is a professional position requiring knowledge and experience in the areas of administrative/program support, office management, event coordination, and the ability to work in a team environment.
• Three or more years’ experience in administrative or program support
• Strong organizational, analytical, interpersonal, and oral/writing communication skills required.
• Knowledge of principles, practices, and procedures of an office environment
• Intermediate to advanced skills in Microsoft Office Products such as Word, Excel and PowerPoint
• Ability to self-direct, take initiative, plan, organize and prioritize time and workload to accomplish tasks and meet deadlines
• Ability to deal with people in a manner which shows sensitivity, tact, and professionalism

COMMUNITY ENGAGEMENT Program Specialist

UServeUtah is seeking a Program Specialist who will be a member of the UServeUtah program staff working to support Community Engagement initiatives within UServeUtah. In this position candidates must perform a wide variety of administrative support duties ranging from clerical support to complex administrative coordination.
 
Compensation Type: Hourly wages
Salary/Wage: $20-23/hr

Status: Full Time

Primary Responsibilities: -
• Respond to and initiate inquiries. Explain policies, answer questions, and independently resolve problems whenever feasible.
• Compose and/or prepare correspondence, memoranda, manuals, and reports using appropriate word processing and spreadsheet tools. Prepare presentation materials for use by others, including editing content.
• Interpret and apply policies, grant requirements, technical directives, state or federal standards and regulations, and implementing necessary processes/procedures.
• In coordination with program manager implements strategies to strengthen relationships with key external partners, including college campuses, nonprofits, community organizations, corporations, and individuals.
• Completes research on best practice; collects data, analyzes and develops reports; supports ongoing evaluation and system improvement processes.
• Coordinate event planning and make logistical arrangements for trainings and larger events working together with the Support Specialist.
• Coordination of training plans and schedules, design, development and delivery of training presentations (outsourced or in-house).
• Perform other duties as required to support the mission and function of the agency.


Desired Qualifications: -
This is a professional position requiring high school diploma or equivalent (Post-secondary education preferred) and three or more years’ experience in administrative or program support
• Experience in planning, coordination and delivery of training
• Experience developing relationships and working with community partners
• Strong organizational, analytical, interpersonal, and oral/writing communication skills required.
• Ability to exercise sound judgment, take responsibility for meeting deadlines, and be a skilled problem solver.
• Ability to initiate projects and works independently with minimal supervise.
• Excellent written and verbal communication, and computer skills to develop own quality written products on Microsoft Office software including Word, Excel, and PowerPoint.
